How to choose which email and SMS provider your project sends through
A TeleportHQ site sends email and text messages through your own account with a sending service, called a provider. To see and change which one your project uses, click the Project settings cog at the bottom of the left sidebar, then Credentials → Email Providers (or SMS Providers). The top of the drawer names the project's provider. Open another provider, fill in its credentials, and click Use for this project to switch every workflow step to it.
Before you start
- An account with a sending service, and an API key or token from it. Email providers: SendGrid, Resend, Mailgun, Postmark and MailerSend. SMS providers: Twilio, TextMagic, Infobip and SMSAPI.
- What the project's provider sends. The email provider sends every workflow email step, account email and store notification. The SMS provider sends every workflow SMS step and campaign.
- Sending email and text messages from your site uses workflows. See How to send emails and text messages from a workflow.
See which provider your project uses
- In the TeleportHQ editor, at the bottom of the left sidebar, click the Project settings cog.
- In the Project settings panel, under Credentials, click Email Providers. For text messages, click SMS Providers.
- Read the top of the drawer. It says, for example, "Resend is this project’s email provider." If no provider is set up yet, it says "No email provider yet. Add the credentials of one below; the first provider you set up becomes the project’s provider."
Below that line, the TeleportHQ Email Providers drawer lists every provider:
- The line at the top names the project's provider and what it sends.
- Each provider shows a status: Configured, Key missing, Incomplete or Not set up. The project's provider also has a Project provider label, and a provider that workflows use shows how many steps use it, for example "2 email steps in 1 workflow".
Add or change a provider's credentials
- In Email Providers or SMS Providers, click the provider. Its details open.
- Optional: under Used in, click a workflow's name to open it in the workflow editor at the first step that uses this provider.
- Fill in the fields. For example, for an email provider:
- API Key (Postmark asks for a Server Token, and Mailgun also asks for a Domain, such as
mg.mybakery.com). - From email, for example
hello@mybakery.com. Trying a provider without a domain of your own? The button next to the From email label fills the provider's own test sender: Use Resend's test sender fillsonboarding@resend.dev; Use Mailgun's sandbox domain and Use MailerSend's trial domain ask the provider for yours with the key you pasted or saved, and fill Domain and From email. The tooltip on each says who can receive such mail: for Resend, only the address your Resend account was opened with; for Mailgun, up to 5 Authorized Recipients you confirm in Mailgun; for MailerSend, your MailerSend administrator's address, 100 emails in all. For your customers, verify a domain with the provider and send from an address on it. - From name (optional), for example
Hearth & Crumb.
- API Key (Postmark asks for a Server Token, and Mailgun also asks for a Domain, such as
- Click Save credentials (or Save changes if the provider already had some).
- Optional: click Send a test email. The test-email window opens already sending, through the key you saved or just pasted, from your From email, to your own address, and shows the provider's answer: "Email sent", or the refusal with a hint on what to change.
Alerts go to, at the top of Email Providers, is where the emails the site sends to you go by default: new-order alerts, low-stock alerts and booking alerts, up to 5 addresses. Each of those can list its own addresses in its own panel instead. Left empty, the alerts go to the workspace owner.
The open provider in TeleportHQ shows:
- Its fields. Keys you paste are "Saved to your project’s secrets; the AI assistant never sees these values." A key that's already saved shows "Stored as <name> · paste to replace".
- The buttons: Save credentials (or Save changes), and Use for this project on any provider that isn't the project's provider yet.
For SMS providers, the fields are: Account SID, Auth Token and Sender number for Twilio; Username, API Key and Sender (optional) for TextMagic; API Key and Sender (optional) for Infobip; Access Token and Sender (optional) for SMSAPI.
To reuse a key you already saved in Secrets, click the button next to the key field (tooltip Link to project secret) and pick it.
Switch the project to another provider
- Open the provider you want to switch to.
- Fill in its required fields, if they aren't saved yet.
- Read the note under the buttons. It says what will change, for example "Switches 3 email steps in 2 workflows to Resend.", or "Email steps added later send through Resend." when no step uses another provider.
- Click Use for this project.
TeleportHQ shows, for example, "Resend is now this project’s email provider. 3 steps in 2 workflows switched over." Every email step that used another provider now uses this one, with its saved credentials. Steps whose sender came from the old provider take this one's From email and From name; a sender typed on a step stays.
Disconnect a provider
- Open the provider.
- At the bottom left, click Disconnect. It shows only when the provider has saved credentials.
- In the Disconnect <provider>? window, click Disconnect. For an email provider, it explains: "This removes the stored API key and sender details for this provider from your project. You can reconnect it any time by entering the credentials again."
You see "<provider> disconnected." If it was the project's provider, another provider that has credentials becomes the project's provider, if there is one.
Troubleshooting
A provider shows Key missing A saved key no longer has a value, for example because its secret was deleted. Open the provider, paste the key again and click Save changes.
A provider shows Incomplete Some required fields are empty. Open it and fill them in.
Use for this project is greyed out The provider's required fields aren't filled in yet. The note says "Fill in the required fields to use <provider> for this project."
"The project is set to send through “…”, which is not a provider this editor knows. Pick one above." The project points to a provider this editor doesn't list. Open one of the listed providers and click Use for this project.
Good to know
- These are the same credentials the Marketing Studio uses. See How to connect an email or SMS sending service.
- Store emails and account emails send through the project's email provider. See Which emails does the store send to you and your customers? and How to customize welcome and password-reset emails.
- Email steps without a sender of their own use your provider's From email and From name, and keep following them when you change them. With no From name saved, your published site uses your store's Company Name, or else your project's name.
- Saving your provider also moves onto it any email step whose own provider was never set up, such as a store's order-update emails.
- Keys are kept in your project's Secrets. See How to keep passwords and API keys safe (Secrets).
- Credentials also has AI Providers, for the AI steps in your workflows. See How to use your own AI provider keys in your web app.
