How to send an email newsletter
In the TeleportHQ Marketing Studio, you send a newsletter or announcement from the Email section. Click Create email and let AI write it from a short description, or copy an email you already have. Then click Configure & send, choose who gets it, add a subject and click Send now. The email goes out through your own connected email service, and you can follow opens, bounces and unsubscribes.
Before you start
- Plan and setup. The Marketing Studio needs a Trial, Pro or Premium workspace and sign-up and login turned on. See What is the Marketing Studio?.
- A connected email service, such as SendGrid or Mailgun. See How to connect an email or SMS sending service.
- Your contacts. You can send to All contacts or to one of your lists. See How to add contacts and create contact lists.
- AI tokens if AI writes the email (TeleportHQ holds back 800 per email).
Steps
1. Create the email
- In the editor's left sidebar, click Growth, then Marketing Studio.
- In the studio menu, click Email.
At the top right, click Create email. The Create email window opens.
Fill in the window:
- Under What is this email about?, describe the email. For example: "Our autumn bread box is back: three loaves and a jar of butter, delivered on Saturdays. Warm and friendly, with a button to order."
- Under Tone, click Friendly, Professional, Playful or Bold.
- Click Generate email. You see "Email created." and the email's details open on the right.
The window says: "The AI drafts a complete, on-brand email from your site's content and builds a real editable component for it."
To copy an email you already have, click Use existing template at the top of the window (it shows once your project has an email), pick the email and click Create email. The copy is a new, independent email: editing it doesn't change the original.
2. Change the email's design (optional)
- In Email → Templates, click View details on the email's card.
- At the bottom of the details, click Edit in builder. The Marketing Studio closes and the email opens on the editor canvas.
- Edit the text, pictures and styles like any other part of your site.
The email is saved as a component in the email-templates folder of your components. Your changes are what gets sent next time.
3. Send the email
- In Email → Templates, click Configure & send on the email's card. The Send "…" window opens.
Fill in the window:
- In Subject, type the subject line, for example
Our autumn bread box is back. Optional: in Preview text, type the short grey line inboxes show after the subject. Inbox preview shows how it will look. - Keep Contact list selected, and choose who gets the email in Send to: All contacts or one of your lists. "Everyone on this audience receives the email. Unsubscribed and bounced contacts are automatically skipped."
- Click Send now. If the window shows Before you send tips above the buttons, read them first and fix what they point out: "These are suggestions — you can still send."
- In Subject, type the subject line, for example
To test first, click Single address instead of Contact list, type your own address in Email address (for example name@example.com) and click Send copy.
Check that it worked
You see "Sent to 120 contacts." (or "Sent to name@example.com." for a copy). The overview at the top of Email updates Sent, Open rate, Bounce rate, Spam rate and Unsubscribes. The Activity tab lists every email sent, who got it, whether it was opened and its delivery status. The email's details show its Performance and Send history.
Before you send: what the tips mean
The TeleportHQ Before you send panel warns about things that often send emails to spam. For example:
- "The subject line is empty — emails without a subject are very likely to be filtered."
- "The subject is mostly UPPERCASE — this is a strong spam signal. Use normal casing."
- "The preview text repeats the subject — use it to add a reason to open instead of saying the same thing twice."
Troubleshooting
"No emails were sent — the audience may be empty or all suppressed." The list is empty, or everyone in it unsubscribed, bounced or reported spam. Check the list in Contacts.
"Connect an email provider before sending." No email service is connected. Click Open email settings in the window and connect one. See How to connect an email or SMS sending service.
"This address unsubscribed" when you send a copy That address opted out of your emails. Only click Send anyway if you're sure you have their permission.
"Sent to … contacts (daily limit reached — some were not sent)." Your project reached its daily email limit. Send to the rest the next day.
"Could not generate the email. Please try again." Try again. If it keeps failing, check your AI tokens. Generate email needs a description: "Describe what the email should be about."
Good to know
- Unsubscribes. Every email has an unsubscribe link. People who opt out appear in the Unsubscribed tab and are skipped on every send. Addresses that bounce or report spam are added there too. To add someone back, click Re-subscribe. Only do this with their consent.
- Open rate is an estimate. Opens are tracked with an invisible image, and some email apps block it.
- Templates shows the emails you made here and the emails created inside campaigns. Filter them with Show: All emails, Standalone or From campaigns.
- Language. On a site with several languages, emails sent from Email go out in your site's main language. To send in another language, create a campaign in that language. See How to create an email or SMS campaign.
- To send a series of emails on a schedule, create a campaign. See How to create an email or SMS campaign.
- Ask in chat. The Marketing Assistant can write and send emails too. Before it sends to a whole list, it asks you to confirm. See How to use the Marketing Assistant.
