How to use the Marketing Assistant

How to use the Marketing Assistant

The Marketing Assistant is an AI chat inside the TeleportHQ Marketing Studio. Click Marketing Assistant at the bottom right of the studio, then ask a question or describe what you want, for example "Plan a 2-week launch campaign for a product." It can look at your contacts, campaigns, emails and posts, plan and generate campaigns, write social posts and emails, manage contact lists and make graphics.

Before you start

  • Plan and setup. The Marketing Studio needs a Trial, Pro or Premium workspace and sign-up and login turned on. See What is the Marketing Studio?.
  • AI tokens. TeleportHQ holds back 200 AI tokens for each message, and the things the assistant creates use tokens too. See What uses AI tokens, and how much?.
  • Not the same as the AI Assistant. The editor's AI Assistant builds and edits your site. The Marketing Assistant only works on marketing.

Steps

  1. In the editor's left sidebar, click Growth, then Marketing Studio.
  2. At the bottom right of the studio, click Marketing Assistant. The chat opens on the right of the studio.
  3. Ask your question:
    1. Click one of the suggestions, such as "Draft a week of post ideas from my site." It goes into the message box, where you can change it. If your project takes bookings, two booking suggestions come first: "Plan a 2-week campaign to fill my booking calendar." and "Write an Instagram post for one of my bookable items."
    2. Or type your own request in the box "Ask about your marketing, or describe what to create…".

  4. Press Enter, or click the send button at the right of the box.

  5. Wait for the reply. While the assistant works, the chat shows what it's doing, for example "Planning your campaign…", "Loading your bookable items…" or "Creating your graphic…".
  6. If the assistant asks you to choose between options, click your choice.
  7. If it needs a sending service, the chat shows Set up your email provider (or SMS). Click your service, fill in its fields and click Use this provider.

Check that it worked

The assistant replies in the chat. Anything it creates appears in the matching section of the TeleportHQ Marketing Studio, and the studio often switches to it: new posts in Social posts, lists and contacts in Contacts, campaigns in Campaigns, emails in Email and pictures in Graphics. Open the section to review the result before you use or send it.

Things you can ask

  • Questions: "Which social platforms should I focus on first?" or "Show me my upcoming scheduled posts."
  • Social posts: "Write an Instagram caption for my newest product." or "Write an Instagram post for one of my bookable items." The assistant first asks whether you want an image, a video or no picture.
  • Campaigns: "Plan a 2-week launch campaign for a product." On a project that takes bookings: "Plan a 2-week campaign to fill my booking calendar."
  • Emails: "Write a newsletter about our autumn bread box." or "How did my last email do?"
  • Contacts: "Create a VIP contact list and add my top customers."
  • Graphics: "Make a promo graphic for my homepage."

Manage the chat

  • Start over: click New chat (tooltip Start a new chat) at the top of the chat. It shows once the chat has a message.
  • Close the chat: click the X (tooltip Close). The conversation stays: click Marketing Assistant again to go back to it.

Troubleshooting

"Finish entering the required credentials to continue." Fill in every field of the sending service that isn't marked optional, then click Use this provider. See How to connect an email or SMS sending service.

An upgrade window opens when you send a message The workspace's trial or subscription has ended. The Marketing Assistant works on Trial, Pro and Premium.

"You need more tokens to continue with this operation. Please purchase more tokens." Your workspace is out of AI tokens, and a window to buy more opens. See What happens when I run out of AI tokens?.

"Something went wrong. Please try again." Send the message again. If it keeps happening, click New chat and ask again.

Good to know

  • The assistant asks before a mass send. Before it sends an email to a whole list, it asks you to confirm how many people and which list. A test copy to a single address doesn't need that confirmation.
  • Campaigns it creates send on schedule. A campaign the assistant creates works like one you make yourself: its messages go out on their days. Review it in Campaigns right away. See How to create an email or SMS campaign.
  • Social posts aren't posted for you yet. Posting to a social network from TeleportHQ isn't available yet, so the Marketing Assistant writes posts but doesn't offer to connect a network, post or schedule them. What is the Marketing Studio?

The TeleportHQ Marketing Studio, in the editor's Growth panel, lets you manage the people who sign up to your site, send email newsletters and AI-written email or SMS campaigns through your own sending service, and create AI social posts and graphics to copy or download.

How to create an email or SMS campaign

In the TeleportHQ Marketing Studio, open Campaigns → New campaign, choose Email campaign or SMS campaign, pick who receives it, your sending service and a goal, review the plan AI builds and click Accept & generate; TeleportHQ writes the messages and sends them on their scheduled days.

In the TeleportHQ Marketing Studio, open Social posts → Create social post, pick networks such as Facebook or Instagram, a goal and a tone, and click Generate post; TeleportHQ writes the post with an AI image or video, which you copy or download and post yourself, because connecting a social network to post from TeleportHQ isn't available yet.

How to add contacts and create contact lists

In the TeleportHQ Marketing Studio, open Contacts to see everyone who signed up to your site, add people with Create contact or Import CSV, and click + (New list) to group them into picked lists or smart lists that fill themselves by rules.

How to create marketing graphics with AI

In the TeleportHQ Marketing Studio, open Graphics → Create graphic, choose a format such as Social ad, Banner or Blog cover, optionally feature one of your products or bookable items, describe the image and click Generate graphic; then click Download, or find the picture in the Assets Manager's growth folder.

What happens when I run out of AI tokens?

When a TeleportHQ workspace doesn't have enough AI tokens, an AI feature stops before it starts and shows a message such as "You need more tokens to continue with this operation. Please purchase more tokens." with the Purchase Tokens window; buy a token pack, earn tokens, or wait for your plan's 30-day reset.
