How to download booking reports and exports
In TeleportHQ, booking reports live in Growth → Bookings, in the Reports & Exports section. Choose Generate report for a PDF with your bookings, revenue, occupancy, cancellations and no-shows, busiest days and items, and best customers, or Download bookings for a CSV or JSON file with every booking. Pick a month or a date range, then click the button. These tools work on Trial, Pro and Premium workspaces, with up to 20 reports a day.
Before you start
- Plan. Your workspace must be on a Trial, Pro or Premium plan. When a trial or subscription has ended, Generate report and Download bookings show a PRO label and open an upgrade window: "Bookings reports and exports are available on paid plans." See plans and pricing.
- Bookings in the period. Reports and exports count the bookings that start in the period you pick, whatever their status.
Steps
1. Open Reports & Exports
- In the left sidebar, click Growth (under Live, below Plugins).
- In the Growth panel, under Bookings, click Bookings. The Bookings page opens over the canvas.
- In the menu on the left of the Bookings page, click Reports & Exports ("PDF reports & booking exports").
The TeleportHQ Reports & Exports section shows the two options on the left, Generate report and Download bookings, a card on the right that says "Pick Generate report or Download bookings to choose a period." until you pick one, and the Generated reports table below.
2. Generate a PDF report
- Click Generate report. The card on the right is now titled Generate report, with a note such as 18 of 20 left today: how many bookings reports you can still make today.
- Choose the period ("Choose the period to report on: the bookings that start in it."):
- Month (the default): pick a month in Reporting month. Only months in which bookings start are listed, and the newest is picked for you.
- Custom range: pick the From and To dates. It starts with the last 30 days.
- Click Generate report (PDF).
The PDF downloads, and a copy is saved in your Assets Manager. The Bookings Report holds:
- At a glance: bookings, revenue, guests, average booking, occupancy (stays and rentals) or hours booked (appointments), cancellation rate, no-show rate and how far ahead people book, each compared with the period of the same length before it.
- Bookings over time, day by day or week by week.
- Where the bookings stand: by Status, Payment and Made by.
- When customers come: By weekday, By hour (bookings by time), and how far ahead bookings are made.
- Items: how each item did, and the options chosen.
- Customers ("Who booked, and who came back"): your best customers.
- Every booking: a table of the period's bookings (up to 600 rows).
3. Download every booking as CSV or JSON
- Click Download bookings.
- Choose Month or Custom range, as above.
- In Export format, choose CSV (spreadsheet) (the default) or JSON.
- Click Download bookings (CSV) or Download bookings (JSON).
Your browser downloads a file like bookings-2026-08.csv, with one row per booking: the reference, status, item, option and extras, how it is booked (time, night or day), the day and time in the booking's own timezone and in UTC, the guests, the customer's name, email, phone and notes, your private note, the total, extras and currency, how it is paid, who made it, when it was booked, and who cancelled it and when. A CSV opens in Excel or Google Sheets.
Check that it worked
- For a report: the message Bookings report for August 2026 generated and saved to your assets. appears, the note shows one report fewer left today, and the report is listed under Generated reports.
- For an export: the message Downloaded 42 bookings of August 2026. appears.
Reopen a past report
- In Reports & Exports, look at the Generated reports table, with the columns Report period, Generated, Size and Open. If a period card is open, close it with the X at its top right to see the table.
- Optional: search by period or date (Search reports by period or date).
- Click Open on the report's row. The PDF opens in a new tab.
Reports are also in the Assets Manager, in the reports folder.
Troubleshooting
"No months with bookings yet. Use a custom range instead." No booking starts in any month yet, so Month has nothing to offer and the button stays greyed out. Switch to Custom range.
"You have reached the daily limit of 20 bookings reports. Please try again tomorrow." You can generate 20 PDF bookings reports a day; the note reads 0 of 20 left today. Try again the next day, or use Download bookings in the meantime: exports have no daily limit.
"You have reached the maximum of 500 stored bookings reports. Please contact support if you need to generate more." A project keeps up to 500 bookings reports, and they can't be deleted. Write to hello@teleporthq.io.
"No booking starts in August 2026." Reports and exports pick bookings by the day they start. Choose a wider range.
"Downloaded the first 20000 bookings of …: pick a shorter period for the rest." One export holds up to 20,000 bookings. Export the rest with a shorter period. A report of such a period says "This period holds more bookings than one report reads: the figures cover its first bookings. Pick a shorter period for the rest."
"The start date must be on or before the end date." In Custom range, the From date comes after the To date. Swap them.
"Bookings report for August 2026 generated." (without "saved to your assets") Your PDF is fine, but it wasn't saved in TeleportHQ, so it won't show under Generated reports. Keep your downloaded copy.
There's a PRO label on Generate report and Download bookings Your trial or subscription has ended. Upgrade your workspace to use them again.
Good to know
- Time zones. A booking is counted on the day it starts in its own timezone (the one in Booking Settings → Booking Times).
- Stored reports can't be deleted. The reports folder in the Assets Manager is protected. Exports aren't saved in TeleportHQ.
- The limit counts bookings reports only. Store sales reports are made in Growth → E-Commerce → Orders. See How to download sales reports and order exports.
- Several currencies. TeleportHQ doesn't convert between currencies. A report counts money in the currency most of the period's bookings use, and names the bookings in other currencies separately.
