How to open and download order invoices

In TeleportHQ, an order's invoice is a PDF. To open one, go to Growth → E-Commerce → Orders, click the order and, in its Invoice section, click Open Invoice PDF. To download every invoice from a month or a date range at once, open the Reports & Exports tab of the same Orders page, click Download invoices and then Download invoices (ZIP). Opening a single invoice works on every plan; the ZIP download needs a Trial, Pro or Premium workspace.

Before you start

  • Invoices must be on in E-Commerce Settings before the order is placed. See How to set up invoices and VAT for your store.
  • When an invoice is created:
    • For an online payment, when the payment provider confirms it through the payment webhook (Auto-generate on payment). See How to set up the payment webhook.
    • For an order paid entirely with a gift card, when it is placed.
    • For a cash-on-delivery or pickup order, when it is placed, if Orders paid on delivery or at pickup is on in the invoice settings. No payment provider is needed.
  • Mark as Paid doesn't create an invoice.
  • Download invoices works on Trial, Pro and Premium workspaces. On a workspace whose trial or subscription ended, the option shows a PRO label and opens an upgrade window. See plans and pricing.

Open one order's invoice

  1. In the left sidebar, click Growth.
  2. In the Growth panel, under E-Commerce, click Orders.
  3. In the orders table, click the order. Its details open on the right.
  4. Scroll to the Invoice section. It shows the invoice Number, for example INV-001.
  5. Click Open Invoice PDF. The invoice opens in a new browser tab, where you can download or print it.

Customers can open their invoice too, from their order on your site (View invoice).

Download all invoices for a period

  1. On the Orders page (Growth → E-Commerce → Orders), click Reports & Exports in the menu on the left.
  2. Click Download invoices. The card on the right is now titled Download invoices.
  3. Choose the period:
    • Month: pick a month in Reporting month. Only months with orders are listed.
    • Custom range: pick From and To dates, for example the first and last day of a quarter.
  4. Click Download invoices (ZIP). A progress bar shows "Packaging invoices".
  5. Your browser downloads a file like invoices-2026-08.zip, with one PDF per invoice, named by invoice number.
The Download invoices card of the TeleportHQ Reports & Exports tab with Custom range selected and the Download invoices (ZIP) button highlighted

While Download invoices is open, the table below the card lists that period's invoices (Invoices), with the columns Invoice, Customer, Email, Issued, Status and Total. Search them (Search by number, customer, status...), and click View or Download on a row to open or save one PDF.

Check that it worked

  • A single invoice opens as a PDF in a new tab.
  • For the ZIP, the message Downloaded 12 invoices for August 2026. appears. If some invoices had no PDF, it says how many were skipped.

Troubleshooting

The order says "Invoice PDF missing — regenerate it in your admin panel" The invoice number is kept, but its PDF couldn't be made when the order was paid. The order is still paid and delivered: only the PDF is missing. To make it:

  1. Click your admin panel in that line. It opens your live site's Invoices list when your store is published and has an admin panel. Otherwise, open the admin panel yourself and click Invoices: under MANAGEMENT, or, in an older admin panel, under COMMERCE in the Orders group.
  2. Find the row marked PDF missing under its number ("This invoice has no PDF yet. Regenerate it to make one."). An admin panel built earlier gets the mark once you open the project in the editor and publish again.
  3. Click Regenerate, then Regenerate in the Regenerate this invoice? window.

In the first 2 minutes after the payment, the order says "Invoice PDF not available yet." instead, while the PDF is still being made. Growth's own invoice list says "The PDF for this invoice is not available yet." for such an invoice.

The order has no Invoice section No invoice was created for the order. Common reasons: Invoices was off when the order was placed, the payment webhook isn't set up, the order was a cash order while Orders paid on delivery or at pickup was off, or it was marked paid by hand. TeleportHQ doesn't create an invoice for such an order afterwards. Fix the setup so new orders get invoices.

"The invoice PDF is not available yet." The invoice exists, but no PDF is stored for it yet. Try again later. If it keeps happening, rebuild it with Regenerate in the admin panel (see Good to know). The order is still paid and delivered: only the PDF is missing.

"No invoices were found for August 2026." No invoice was issued in that period. The ZIP picks invoices by the date they were issued, not the order date, so try a wider range.

"Could not load invoices. Make sure invoicing is enabled for this store." or "Invoicing is not set up for this store yet, so there are no invoices to list." Turn on Invoices in E-Commerce Settings, then try again.

"Found 3 invoices for August 2026, but none had a downloadable PDF." The invoices exist but have no PDF files. Open them one by one from their orders, or regenerate them in the admin panel.

"No months with orders yet. Use a custom range instead." Month only lists months with orders. Switch to Custom range.

The download options show a PRO label Your workspace's trial or subscription has ended. Upgrade to use Download invoices.

A customer wants their VAT number on the invoice A store invoice is made out to the name and address the buyer typed under Billing Details at checkout. When they typed a Company Name there, the invoice prints it under their name (on a store published before this was added, from its next publish). The checkout has no field for a VAT number, so add it in your live site's admin panel (see How to open the admin panel on your live site):

  1. Click Invoices: under MANAGEMENT, or, in an older admin panel, under COMMERCE in the Orders group.
  2. On the invoice, click Edit.
  3. Type the number in VAT Number. Correct Customer name, Address, City, ZIP or Country too if they're wrong.
  4. Click Save Changes.
  5. Click Regenerate on the invoice, then Regenerate in the Regenerate this invoice? window ("Customer details, notes and payment method come from this invoice, so correct them with Edit first.").

The invoice keeps its number and dates. The customer isn't emailed again, but View invoice on their order now opens the new PDF. If the invoice never had a PDF, for example because it could not be made when the order was paid, the customer gets it by email now, once, when Invoice Email Delivery is on.

Good to know

  • Who an invoice is made out to: the buyer's name, email and address from Billing Details at checkout. See Who the invoice is made out to.
  • Invoice ZIP files aren't saved in TeleportHQ. Keep your downloaded copy.
  • Changing the invoice settings (company details, logo, tax, numbering) with Configure Invoices applies to the invoices created after that. Invoices already issued keep their PDF.
  • Regenerate an invoice from your live site's admin panel: click Invoices (under MANAGEMENT, or under COMMERCE in the Orders group of an older admin panel), then Regenerate on an invoice, or select several and click Regenerate above the list. "It keeps its invoice number and dates. The old PDF is removed and only the new one is kept." The customer isn't emailed again. If the invoice never had a PDF, the customer gets it by email now, once, when Invoice Email Delivery is on: "The customer is emailed the invoice only if it has no PDF yet and Invoice Email Delivery is on, and only once." An older admin panel's Regenerate window still says "The customer is not emailed." The email goes out all the same once your store is published again. See How to open the admin panel on your live site.
  • Refunds update the invoice. A refund made from the order in TeleportHQ, or in your payment provider's dashboard, is recorded on the order's invoice. See How to refund an order.
  • Emailing invoices. Customers get their invoice by email after an online payment when Invoice Email Delivery is on in Configure Invoices. TeleportHQ switches it on by itself the first time you save an email sending service while Invoices is on, and tells you: "Invoices will also be emailed to your customers, through …". If you switched it off yourself, it stays off. See Which emails does the store send?.
  • Bookings share the invoice settings. If your project also takes bookings, bookings paid online are invoiced with the same settings and design: changing them in either place changes both.
  • Months in Reporting month and the date ranges follow your computer's time zone.
