How to ship an order and print a packing slip

To ship an order in your TeleportHQ store, open Growth → E-Commerce → Orders, click the order and click Ship items. Choose what goes in the parcel, the carrier and the tracking number, then click Ship. TeleportHQ records the parcel, emails the customer the tracking details, and gives you a Packing slip PDF to put in the box. You can ship one order in several parcels.

Before you start

  • The order must be ready to ship. Delivery orders ship once they're paid. Cash-on-delivery orders ship before they're paid, since the money is collected at the door. Pickup orders, orders of digital products and orders that pay for a booking have nothing to ship.
  • Packing slip details. The packing slip uses the company name, logo and address from your invoice settings. Fill them in first. See How to set up invoices and VAT for your store.
  • Customer emails. For the customer to get the shipping email, your project needs an email provider. See Why didn't my customer get an email?.
  • Shipping orders has no plan limit.

Steps

1. Record a parcel

  1. In the left sidebar, click Growth.
  2. In the Growth panel, under E-Commerce, click Orders. The Orders page opens on its Analytics tab.
  3. In the orders table, click the order. Its details open on the right.
  4. Under the order summary, click Ship items. If part of the order already left, the button says Ship remaining. The Ship order window opens.
  5. Under What is in this parcel, check the quantity of each item. Each box starts with the units left to ship. Set an item to 0 to leave it for a later parcel.
  6. In Carrier, choose the delivery company, for example DHL Express. If yours isn't listed, choose Other carrier and type its name in Carrier name, for example Local courier.
  7. In Tracking number (optional), paste the tracking number, for example JD0002123456789.
  8. Optional: in Note (optional), type a note, for example Fragile, handle with care. It's printed on the packing slip and included in the customer's shipping email.
  9. Click Ship 2 units (the button counts the units in the parcel).

For a listed carrier, TeleportHQ builds the customer's tracking link from the carrier's tracking page. For Other carrier, paste the parcel's tracking page in Tracking link (optional). Without one, the email links to the customer's order page, which shows the tracking number.

The bottom of the window says whether the customer will be emailed, for example "The customer is emailed the carrier, the tracking details and what is in this parcel."

2. Print the packing slip

  1. In the order's Shipments section, find the parcel, for example Shipment 1 · DHL Express.
  2. Click Packing slip. A PDF opens in a new browser tab.
  3. Print it and put it in the box.

The packing slip shows your company details, the ship-to address, the carrier and tracking number, and the items and quantities with the total units. It has no prices.

3. Mark the parcel delivered

When the parcel arrives, click Mark delivered on it. When every item has shipped and every parcel is delivered, the order becomes Delivered and the customer gets the delivery email. A cash-on-delivery order is also marked paid at that moment: "Paid on delivery — the order is now marked paid."

Check that it worked

  • The message Shipment recorded. appears, or Shipment recorded — the order is now shipped. when every item has shipped.
  • The summary and the Shipments section show how many units left, for example "1 of 2 units shipped".
  • Once every item has shipped, the order status changes to Shipped by itself.
  • The customer gets one shipping email per parcel, with the carrier, the tracking details and the items in that parcel.
  • The order's History shows Order Shipped email sent once the shipping email went out. The message after Ship only mentions email when it couldn't be sent.

Troubleshooting

"Pick at least one line to ship." All quantities are 0. Enter at least one unit.

"Only 2 of Sourdough loaf are left to ship." You entered more units than are left. Lower the number.

"Name the carrier so the customer knows who is delivering." You chose Other carrier without a name. Type it in Carrier name.

"The tracking link must be a full http:// or https:// address." Paste the whole link, starting with https://.

There is no Ship items button The Shipments section says why, for example:

  • "This order is not paid yet. It can ship once the payment is confirmed; mark it as paid first if it was settled another way."
  • "This order's payment failed. Mark it as paid first if it was settled another way."
  • "This order is collected in store, so there is nothing to ship."
  • "This order only contains digital products or gift cards, which are delivered by email and from the order page, so there is nothing to ship."
  • "This order pays for a booking: the customer comes to you, so there is nothing to ship."
  • The order is cancelled or fully refunded, or every item has already shipped.

"This store was set up before shipments existed, so it has no shipment tables yet." Click Set up shipments, then try again.

The packing slip doesn't open Allow pop-ups for TeleportHQ in your browser. If you see "The packing slip could not be rendered.", try again in a minute.

The message ends with "The customer was not emailed: …" The parcel is recorded, but no email went out. See Why didn't my customer get an email?.

Good to know

  • Fix a mistake: click Edit on a parcel to change the carrier, tracking number, link or note, then Save changes. Quantities can't be changed, and the customer isn't emailed again.
  • Undo a parcel: click Void, optionally type a reason, then Void shipment. Its items count as not shipped again. The order status doesn't change and the customer isn't emailed, so change the status yourself if needed.
  • Shipping by status only: choosing Shipped in the Fulfilment picker emails the customer, but records no parcel or tracking number.
  • From your live site: the admin panel's Orders page has a Ship button on each order's row, and Shipments lists every parcel with Mark delivered and Void. See How to find and manage orders.
  • The tracking link in the email falls back to the customer's order page, which only works on your published store.
  • Tracking numbers can be up to 100 characters.

What do the order, payment and shipping statuses mean?

Which emails does the store send to you and your customers?

A TeleportHQ store emails you about new orders, low stock, new reviews and return requests, and emails customers their invoices, order updates, refunds, gift cards, downloads, subscription updates, return confirmations and abandoned cart reminders; all of them except the cart reminders go out through the one email sending service your project uses.
