How to see and export form submissions

How to see and export form submissions

In TeleportHQ, form submissions are in the editor's Growth tab: click Growth in the left sidebar, then Form submissions under Forms, and pick the form in the Your forms list. You see one row per submission with the date and every field. Click Download submissions to export them as a CSV file you can open in Excel or Google Sheets, or open a row to read it, correct it or download it as a PDF.

Before you start

  • Your form must store submissions in TeleportHQ. Forms that hand their submissions to a workflow, forms whose Form Submissions switch is off, and the sign-in and checkout forms of the user accounts and store features aren't listed.
  • You need permission to edit the project.

Steps

View submissions

  1. In the TeleportHQ editor's left sidebar, click Growth (the last button, under Live).
  2. Under Forms, click Form submissions. Ctrl+5 (Cmd+5 on a Mac) opens it in one go. The Forms area opens over the canvas.
  3. Under Your forms, click the form, for example Homepage Form ("Homepage · 12 submissions"). With several forms, type in Search forms... to find one by its name or its page's name. The first form is picked when the area opens.
  4. Beside the list, the form's title line reads, for example, "On Homepage · 3 fields · 12 submissions". Its submissions are listed below it. Use the toolbar above them:

The toolbar of a form's submissions in TeleportHQ Growth → Forms with 1 the Submissions, Spam and Trash tabs, 2 Download submissions, 3 Toggle column filter and 4 the search box numbered
    1. The tabs Submissions, Spam and Trash, each with its count.
    2. Download submissions (the download icon), next to Refresh submissions.
    3. Toggle column filter (the filter icon). Next to it, the stars icon opens AI Analysis.
    4. Search submissions...: type to find an entry, for example a customer's email.
  5. Click Submitted At to sort by date.
  6. Click a row to open Submission Details. You can correct a value there, for example a typo in a phone number.

The same submissions are also in the form's Manage Form window, on its Submissions tab: select the form on the canvas and click Manage in the right panel.

Export submissions to CSV

  1. Above the form's submissions, click Download submissions in the toolbar.
  2. A message says "Download started for (file name). Check your Downloads folder if it doesn't start automatically."
  3. Open the CSV file in Excel, Numbers or Google Sheets.

The CSV file follows what the tab shows: the tab you're on (Submissions, Spam or Trash), your search, and the columns you kept. To export only some rows, tick their boxes and click Export.

Download one submission as PDF

  1. Open the row's menu and click Download PDF, or open the row and click Download PDF in Submission Details.
  2. If your browser blocks the download, the PDF opens in a new tab: "PDF opened in new tab. Use your browser's download button to save it."

Choose and order columns

  1. Click Toggle column filter. The Columns list opens, with Submitted At and one entry per field.
  2. Hide the columns you don't need, and use Move up and Move down to reorder them.
The Columns list of the TeleportHQ Submissions tab, with one entry per form field and the Move up and Move down buttons

Column titles come from each field's name. See How to set up form fields (placeholders, required, types).

Clean up: spam and trash

Tick rows with their checkboxes, then use the buttons that appear at the top:

  • On Submissions: Report as spam or Move to trash.
  • On Spam: Mark as not spam or Delete permanently.
  • On Trash: Restore or Delete permanently.

Each row's menu has the same actions for one submission: Mark as Spam, Move to Trash, Mark as Not Spam, Restore and Delete Permanently. Delete Permanently asks you to confirm first.

Check that it worked

  • The CSV file is in your Downloads folder, with one row per submission.
  • Submissions you moved show up under Spam or Trash, with their counts in the tab names.

Troubleshooting

"No submissions yet" Nobody has submitted this form on your published site yet ("Submissions will appear here once users submit the form"). Submit a test entry on the live site. If it still doesn't appear, see Why is my form not working?

"N submissions not shown due to limit." Your workspace reached its monthly submission limit. The extra submissions are still saved, but they're hidden while you're over the limit. Click Increase Submissions. See How many forms and submissions can I have?

"A new submission has been added. Refresh the list to see it." Someone submitted while you had the submissions open. Click Refresh submissions.

"Failed to download submissions. Please try again." The export didn't start. Try again in a moment.

Download submissions is greyed out Every column is hidden. Open Toggle column filter and show at least one.

Good to know

  • Delete Permanently can't be undone.
  • Submissions include the visitor's approximate country and city, based on their IP address.
  • To find patterns, such as your busiest days, use AI Analysis on the same tab. See How to analyze form submissions with AI.
  • Deleting a form deletes its submissions from view. You delete a form from the canvas, or with the bin icon (Delete form) beside its title in Growth → Forms. TeleportHQ first asks in a Delete Form window: "Deleting this element will remove the form and its submissions will no longer be available. Are you sure you want to continue?" After Delete Form, the form and its submissions disappear from Growth → Forms, and the form on your live site stops accepting entries. Download the submissions first if you want to keep them.
  • Settings beside the form's title opens its Manage Form window on the Settings tab: messages, notifications, spam protection and limits. Show on page opens the form's page on the canvas, with the form selected in Pages, Components & Tree View. For about 10 seconds, a Back to Forms button above the canvas takes you back to the form in Growth → Forms. It stays while your pointer is on it. How to choose what happens after someone submits a form

In TeleportHQ, you open a form's Manage Form window (Growth → Forms → Settings) and, on the Settings tab, choose what visitors see after submitting (an alert, a component, a page or a web address), who gets an email for each submission (up to 3 addresses, the workspace owner first), and when the form closes (an expiration date or a submission limit); click Save and publish.

How to analyze form submissions with AI

In TeleportHQ, you ask AI about a form's submissions by opening the form in Growth → Forms and clicking the AI Analysis (stars) button above its submissions; pick a quick prompt such as "Where do submissions come from?" or type your own question, and choose Simple or Balanced under Agent Quality; each answer uses AI tokens.

In TeleportHQ, the Trial and Pro plans include 10 forms and 2,000 form submissions per 30 days for the whole workspace, Premium has unlimited forms and submissions, every form counts as soon as it's added (ready-made form sections too), and on Trial and Pro you can buy more from Growth → Forms with Increase Limits.

How to protect forms from spam (reCAPTCHA)

How to set up form fields (placeholders, required, types)

In TeleportHQ, you set up a form field by selecting it and opening the Attributes section in the right panel, where you change its placeholder text, make it required, choose its type (text, email, number, phone, date and more) and set its name, which becomes the field's column in your submissions.

Why is my form not working?

A TeleportHQ form usually stops collecting submissions because the site is hosted outside TeleportHQ ("Domain not allowed"), the changes weren't published, the form's storage is off or handled by a workflow, an action attribute overrides it, a field rule refuses the value, the form expired or hit a limit, or reCAPTCHA keys don't match the domain.
