How to control who can see a project folder
In TeleportHQ, each project folder has its own list of collaborators. On your dashboard, open the folder's ⋯ menu and click Manage Collaborators, then pick a workspace member and click Add. Only the people on that list, plus the workspace owner and admins, can see the folder and the projects inside it. A folder with nobody on the list is visible only to owners and admins. Projects outside any folder are visible to every member.
Before you start
- Folders need a paid plan, such as Pro or Premium. See How to organize projects in folders.
- You need to be the workspace Owner or an Admin.
- The person must already be a member of the workspace. To add someone new, invite them first. See How to invite people to your workspace.
Give someone access to a folder
- On your TeleportHQ dashboard, find the folder in the Folders section.
- Hover the folder card and click its ⋯ menu.
- Click Manage Collaborators. A window titled Manage Collaborators — followed by the folder's name opens, for example Manage Collaborators — Clients.
- Click Select a collaborator... and choose the person, for example your freelance designer.
- Click Add. The person appears in the list.
- Click Close.
Remove someone's access to a folder
- Open the folder's ⋯ menu and click Manage Collaborators.
- Next to the person's name, click Remove.
- Click Close.
Check that it worked
For owners and admins, the folder card shows the avatars of the people who have access under Collaborators, or None. When the person you added opens the workspace, they see the folder and its projects. People you removed no longer see it.
Troubleshooting
The person isn't in the "Select a collaborator..." list, or the list is missing They aren't a member of this workspace yet, or they're already on the folder's list. Owners and admins never appear in the list, because they always see every folder. When nobody is left to add, the list doesn't show at all. Invite the person to the workspace first.
"Could not add collaborator." or "Could not remove collaborator." The change didn't save. Refresh the page and try again. If the workspace's trial or subscription has ended, the owner needs to subscribe first.
A member says they can't create a project In a workspace with folders, members who aren't owners or admins can only create projects inside a folder they have access to. Add them to a folder, and ask them to open it before clicking + New Project.
Good to know
- Folder access decides which projects members see and where they can create new ones. What someone can change inside a project still depends on their role. See What can each role do?.
- To share a single project with someone outside the workspace, invite them to that project instead. See How to invite someone to a single project.
- Subfolders have their own list. Access to a folder doesn't include its subfolders: add the person to each subfolder they need.
- Access to a subfolder only shows the person its parent folder too, so they can reach the subfolder. They also see the projects stored directly in that parent folder, but they can't rename it, manage it or create projects in it.
- Projects outside any folder are visible to every member of the workspace. To limit who sees a project, move it into a folder.
- To hide pages inside a project from some collaborators, use page permissions. See How to control which collaborators see each page.
