How to invite people to your workspace

How to invite people to your workspace

In TeleportHQ, you invite someone to a workspace from Workspace Settings → Collaborators: type their email in Invite by email, choose a role, and click Send invite. There is no accept step. A person who already has a TeleportHQ account gets access to every project in the workspace immediately, and a new person gets access when they sign up with that exact email.

Before you start

  • You need to be the workspace Owner or an Admin. Other roles can see the member list but not the invite form. Who may invite is a question of your role, not of the plan.
  • Editing roles may cost money. Admin, Designer and Editor use an editor seat; Viewer and Limited Viewer are free. During the trial, extra editors are free. On Pro and Premium the Owner is included and each extra editor is a paid seat. The Academic plan includes 25 editor seats. See How do editor seats work, and what do they cost?.
  • The workspace needs an active plan. While its trial or subscription has ended, the Invite by email field is hidden, and the tab says: "This workspace has no active plan, so it cannot invite members or give editing rights. You can still remove members or set them to a viewing role; choose a plan to invite again."
  • Pick the right role. See What can each role do?.
  • Only want to share one project? Invite the person to that project instead. See How to invite someone to one project.

Steps

  1. On your dashboard, in the left sidebar, point at the workspace and click the ⋯ icon at the right end of its row.
  2. Click Manage Collaborators. If you're an Admin, the workspace is under SHARED WITH ME and the item is See Collaborators. The Collaborators tab of Workspace Settings opens.
  3. At the top right, click the Invite by email field and type the person's email, for example maria@mybakery.com. Capital letters don't matter.
  4. In the role list next to it, choose a role. The default is Designer.
  5. Click Send invite (or press Enter).

If the Add an editor seat window opens

On a Pro or Premium workspace, inviting someone as Admin, Designer or Editor opens the Add an editor seat window before anything happens. It shows what is charged to your card today, for the rest of the billing period, and what the seat costs at each renewal.

  1. Read the charge.
  2. Click Pay <amount> and add editor to confirm. If your account credit covers the charge, the button reads Add editor, covered by your credit.

To stop, click Cancel: nobody is invited and nothing is charged.

Check that it worked

TeleportHQ shows "Workspace member was successfully added." The person appears in the Members list with the collaborator type Workspace and the role you chose. Someone who doesn't have a TeleportHQ account yet appears with only their email.

TeleportHQ also sends them an email. If they already have an account, the workspace appears in their dashboard sidebar under SHARED WITH ME the next time they load the dashboard. See I was invited to TeleportHQ: how do I get access?.

Turn a project collaborator into a workspace member

If someone was invited to only one project, you can give them access to the whole TeleportHQ workspace.

  1. In Workspace Settings → Collaborators, find the person in the Members list. Their collaborator type is Project.
  2. Click the ⋯ at the end of their row.
  3. Click Invite to Workspace.

Their collaborator type changes to Workspace, with the role they last had on a project. There is no confirmation window and no message.

Troubleshooting

"Email is required", "Email is not valid" or "Email is already added" The message shows under the field. Check the email. If the person is already in the list, change their role instead. See How to change a member's role.

"Editors limit has been reached for this plan." The plan includes a fixed number of editor seats, and they're all used. On the Academic plan the message is "Your Academic plan supports up to 25 editor seats." Invite the person as Viewer or Limited Viewer, which are free, or make another editor read-only.

"We could not quote this seat because there is no saved payment method on the workspace." or "No payment method is saved for this workspace; add a card in the billing portal first" The workspace has no saved card, so the seat can't be charged. The Owner adds one from Workspace Settings → Billing → Manage payment, then you invite the person again.

"Workspace member <email> could not be added." The invitation didn't go through. The person may already be a member: check the Members list. Otherwise reload the page and try again.

There's no Invite by email field Either your role can't invite people (only the Owner and Admins can), or the workspace's trial or subscription has ended and the tab says it "cannot invite members or give editing rights". The Owner subscribes first. See What happens when my trial or subscription ends?.

The person says they have no access They're probably signed in with a different email address, for example a Google account with another address. Access is matched to the email you typed. Capital letters don't matter, but the rest of the address must be the same. Remove the old entry and invite the address they actually use. See How to remove a member or cancel an invitation.

Good to know

  • No accept, resend or expiry. Invitations don't expire and can't be resent. To cancel one, remove the person from the list.
  • Workspace members see everything. Workspace collaborators can open every project in the workspace, including future ones. Admins can also create projects anywhere, and Designers inside folders they were added to, or anywhere while the workspace has no folders.
  • Graduate workspaces can't have members: "Graduate workspaces are single-seat: the owner is the only member and no one can be invited."
  • Inviting TeleportHQ support. Adding support@teleporthq.io never uses a paid seat. See How to share your project with TeleportHQ support.
