How to change a member's role
In TeleportHQ, the workspace Owner changes a member's role from Workspace Settings → Collaborators: in the Members list, pick a new role in the person's Role column. On Pro and Premium, moving someone from a free Viewer role to an editing role adds a paid seat. Making an editor read-only frees that seat and credits the unused time to your account.
Before you start
- Only the workspace Owner sees the role list in Workspace Settings. Admins can invite and remove people, but can't change roles there.
- This page changes roles for workspace members. For someone invited to a single project, the Owner or an Admin changes their role from the project's Share button instead. See How to invite someone to one project.
- Without an active plan, only viewing roles. While the workspace's trial or subscription has ended, the role list offers only Viewer and Limited Viewer, besides the person's current role. You can make an editor read-only, but you can't give anyone an editing role until the Owner subscribes.
- Check what the new role can do. See What can each role do?.
Steps
- On your dashboard, in the left sidebar, point at the workspace and click the ⋯ icon at the right end of its row.
- Click Manage Collaborators.
- In the Members list, find the person. You can type their name in Search members....
- In their Role column, open the role list and pick the new role, for example Viewer.
- If a window opens, confirm the change (see below). Otherwise the change saves straight away.
If you give someone an editing role
On a Pro or Premium workspace, changing a Viewer or Limited Viewer to Admin, Designer or Editor opens Upgrade to an editor seat. It shows the charge for the rest of the billing period and what the seat costs at each renewal. Click Pay <amount> and upgrade to confirm, or Cancel to keep the old role. If your account credit covers the charge, the button reads Upgrade, covered by your credit.
If you make an editor read-only
On a Pro or Premium workspace, changing an Admin, Designer or Editor to Viewer or Limited Viewer opens Make this editor read-only? The window explains that "The member keeps access to the workspace as a viewer." and that the unused part of the billing period comes back as account credit. Click Make read-only to confirm.
Check that it worked
The new role shows in the person's Role column. While the seat is billed or credited, the row reads "Updating seat…". After making an editor read-only, TeleportHQ shows "Editor seat freed. The unused part of this billing period is credited to your account and applied to your next invoice."
If the person has the project open at that moment, their editor shows New project role ("A new project role was assigned to your account (Viewer). We will reload the page in a few moments.") and reloads a few seconds later with the new permissions.
Troubleshooting
"Editors limit has been reached for this plan." The plan includes a fixed number of editor seats, and they're all used. On the Academic plan the message is "Your Academic plan supports up to 25 editor seats." Make another editor read-only first, or keep this person as a Viewer.
A message about the payment method or the payment The seat couldn't be charged, for example because the workspace has no saved card. The Owner adds one from Workspace Settings → Billing → Manage payment, then tries again.
"This workspace has no active plan, so it cannot give editing rights. You can still remove members or set them to a viewing role; choose a plan to make them editors again." The workspace's trial or subscription has ended, so nobody can get an editing role (Admin, Designer or Editor) until the Owner subscribes. Choose Viewer or Limited Viewer instead. See What happens when my trial or subscription ends?.
"Could not change access type. Please try again." The change didn't save. Reload the page and try again.
I don't see a role list, only the role name You aren't the workspace Owner, or the person is a project collaborator (their collaborator type is Project). Project collaborators' roles are changed from the project's Share window.
Good to know
- Credit, not a refund. When an editor is made read-only or removed, the unused part of the seat's billing period goes to your TeleportHQ account credit and is used on your next invoice. It isn't refunded to your card.
- Custom domains on older Pro plans. On older Pro plans billed per editor, custom domains come with editor seats. The window warns you if making someone read-only lowers your domain allowance. Domains you already use keep working.
- The Owner's role can't be changed, and ownership can't be handed to someone else.
