How to invite someone to one project
In TeleportHQ, you share a single project from the editor: click Share at the top right, type the person's email in Add email, choose a role and click Send invite. The person gets access to that project only, not to the rest of your workspace, and TeleportHQ sends them an email. Someone who already has a TeleportHQ account has access straight away; there's nothing to accept.
Before you start
- You need to be the workspace Owner or an Admin. Other roles see "Your current role does not have enough permissions to share this project" when they click Share.
- Choose the role. A client who only reviews the work can be a Viewer, which is free. See What can each role do?.
- Editing roles may cost money. On Pro and Premium, giving someone the Admin, Designer or Editor role adds a paid editor seat, unless they already have an editing role in another project of the same workspace. During the trial, editors don't add a charge. See How do editor seats work, and what do they cost?.
- Want them to see every project? Invite them to the whole workspace instead. See How to invite people to your workspace.
Steps
- Open the project in the TeleportHQ editor.
- At the top right, click Share. The Collaborators window opens.
- In Add email, type the person's email, for example
client@mybakery.com. - Open the role list next to it and choose a role, for example Viewer. The list starts on Designer.
- Click Send invite (or press Enter).
- If the Add an editor seat window opens, read the charge it shows, then click the button that names it (Pay … and add editor). Click Cancel to go back and choose a free role instead.
Check that it worked
The person appears in the Collaborators window under Project collaborators, with the role you chose. TeleportHQ emails them. If they already have an account, the project appears on their dashboard under SHARED WITH ME → Shared projects. If they don't, they get access when they sign up with that email address. See I was invited to TeleportHQ: how do I get access?.
Change a project collaborator's role or remove them
- In the TeleportHQ editor, click Share at the top right.
- Under Project collaborators, open the role list next to the person.
- Choose a new role, or click Remove at the bottom of the list.
Remove takes effect immediately, with no confirmation. If the person has the project open, they see Access denied and are sent to their dashboard. If you change their role, their editor shows New project role and reloads. On Pro and Premium, changing a Viewer to an editing role can open the Upgrade to an editor seat window first.
People listed under Workspace collaborators show their role as a label only. Change or remove them in Workspace Settings → Collaborators on the dashboard. See How to change a member's role.
Troubleshooting
"The provided email is already listed as a collaborator" The person already has access to this project, as a project or workspace collaborator. Change their role instead.
"You cannot add yourself as a collaborator" You typed your own email address.
"Editors limit has been reached for this plan." Your plan has as many editors as it allows. Choose Viewer or Limited Viewer, or give someone else a read-only role first.
"Can't add collaborators. The maximum number allowed in the same time on a project has been reached." The project has as many collaborators as the plan allows. Remove someone who no longer needs access.
"This workspace has no active plan, so it cannot invite new members. You can still remove members or set them to a viewing role; choose a plan to invite again." The workspace's trial or subscription has ended: the workspace Owner has to subscribe before anyone can be invited. When an invitation fails for another reason, the message says why, or reads "<email> could not be invited." See What happens when my trial or subscription ends?.
"Could not remove the collaborator from this project. Please try again." The removal failed and the person kept their access. Reload the page and try again.
The top bar shows View only instead of Share The project is read-only for you, because of your role or because the workspace's subscription has ended. See Why can't I edit my project?.
Good to know
- Project collaborators see only this project. As the Collaborators window puts it, they can't create new projects in the workspace, and the workspace's other projects aren't visible to them.
- Editors and Limited Viewers see only some pages. After inviting them, give them the pages they need. See How to control which collaborators see each page.
- Projects in restricted folders. If the project is in a dashboard folder with limited access, Workspace collaborators lists only the folder's members and the Owner.
- Sharing a link instead. To let anyone with the link look at the project without inviting them, see How to make a project private, view-only or cloneable.
- Give a project collaborator every project. In Workspace Settings → Collaborators, open the person's menu and click Invite to Workspace.
- Missed a message? Error and warning messages stay available for the rest of your session: click the warning icon at the top right of the editor (Recent errors and warnings).
- Inviting TeleportHQ support never adds a paid seat. See How to share your project with TeleportHQ support.
