How to control which collaborators see each page

How to control which collaborators see each page

In TeleportHQ, you choose which pages each collaborator can see in the Manage Files & Folders Permissions window: open the menu of a page or page folder in the Pages list, choose Permissions, and switch collaborators on or off. Editors and Limited Viewers start with no pages, so switch on the ones they need. Admins, Designers and Viewers start with every page, and you can switch pages off for them. The Owner always sees every page.

Before you start

  • You need to be the workspace Owner or an Admin. Other roles don't see Permissions in the menu.
  • Invite the person first. See How to invite someone to one project.
  • The person needs a TeleportHQ account. People who haven't signed up yet show "Collaborator does not have an account yet" and have no switch.
  • Group pages into folders to share several at once. See How to organize pages in folders.

Steps

  1. Open the project in the TeleportHQ editor.
  2. In the left sidebar, click Pages, Components & Tree View (the layers icon).
  3. In the Pages list, click the … at the right end of the page's row, or right-click the page. For a folder, right-click the folder, for example the landing folder.
  4. Click Permissions. The Manage Files & Folders Permissions window opens.

  1. On the left, check that the right page or folder is selected. You can click another one in the tree.
  2. On the right, under <page> Permissions, find the collaborator. You can type their name in Search collaborators....
  3. Turn the switch next to their name on to give access, or off to take it away. Changes apply immediately.

Check that it worked

For a folder, TeleportHQ shows "<name> has now access to the <folder> folder and all of its children" when you switch someone on, or "<name> no longer has access to the <folder> folder or any of its children" when you switch them off.

The collaborator sees the page or folder in their Pages list. Pages they can't see are left out of their Pages list, their search and their find-and-replace, and they can't open them.

Troubleshooting

My Editor says the project has no pages, or pages are missing This is expected. The Editor and Limited Viewer roles only see the pages you switch on for them, plus pages and folders they create themselves. Open Permissions on the pages or folders they need and switch them on.

"Owner permissions cannot be edited" The Owner always sees every page, so the Owner's switch can't be changed.

"You cannot edit your own permissions" Ask another Owner or Admin to change your access.

"Collaborator does not have an account yet" The person was invited but hasn't signed up. Their switch appears once they create an account with the invited email.

"No collaborators have been added to this project yet." Nobody else has access to this project. Invite someone first.

Good to know

  • Folder access covers everything inside. "The permissions for this folder will be applied to all pages and subfolders within it." Switching a folder on or off replaces any setting you made earlier on the pages and subfolders inside it.
  • New pages. A page or folder an Editor creates is automatically visible to them.
  • It's about the editor, not your live site. Page permissions decide what collaborators see in the TeleportHQ editor. To limit a page of your published site to signed-in visitors, see How to make a page visible only to signed-in users.
  • Dashboard folders are different. To limit who sees a whole project folder on the dashboard, see How to control who can see a project folder.

How to make a page visible only to signed-in users

In TeleportHQ, you make a page members-only by opening its menu in the Pages list (or Page settings → Security) and turning on Require Authentication; visitors who aren't signed in are sent to the sign-in page, Role Protection limits the page to a role such as editor, and in an online store Subscriber Access limits it to customers with an active subscription.
