How to add a bookable item (a room, appointment, table, class or rental)

In TeleportHQ, a bookable item is anything customers book on your site: a room, an appointment, a table, a class, a car or a piece of equipment. To add one, open the Bookings panel in the editor's left sidebar, click Add Item (the + next to Items), fill in the New Item form and click Create Item. Each item has its own photos, description, way of being booked (by time, by night or by day), capacity, guests and price.

Before you start

Open the New Item form

  1. In the editor's left sidebar, click Bookings. If you don't see it, click Plugins, click Bookings, then click Open next to Bookings panel.
  2. Next to Items, click + (tooltip Add Item). While you have no items, the list says No Items Yet and also shows an Add Item button.

The New Item form opens beside the panel.

Describe the item

  1. In Item Name, type the name customers see. For example, Sea View Double Room. It's required, up to 255 characters.
  2. In Description, write what it is, what's included and what to bring. The box keeps your formatting, such as bold text and lists.
  3. Under Item Images, click Add Image to add photos. The first photo, marked Main, opens the item's card and page; the others fill its gallery. An item keeps up to 20 photos.
  4. In Categories, pick a category or type a new one, for example Rooms. Visitors filter the booking page by them, and the first one shows on the item's card. An item can be in up to 20 categories.
  5. In Location, type an address, a room, or "Online — link sent by email". For example, 12 Market Street.

Choose how it is booked, its capacity and its price

The lower part of the TeleportHQ New Item form sets how the item is booked:

  1. How It Is Booked: pick one.

    • By time: "A start time and a fixed length: an appointment, a table, a class, a court." Set Length (minutes) in steps of 5 minutes, up to 24 hours. It starts at 60.
    • By night: "A check-in and a check-out day, counted in nights: a room, a holiday home." Set Fewest nights and Most nights.
    • By day: "Whole days, the first and the last included: a car, a bike, equipment." Set Fewest days and Most days.

Nights and days go up to 365. Start times for items booked by time follow the step you set in the booking rules. See How to set opening hours, start times and closed days for bookings.

  2. What The Capacity Counts and how many fit at once:

    • Bookings: each booking takes one place, whatever its guests (five rooms, ten tables). Set Bookings At Once.
    • Guests: each guest takes one place (a class of twenty people). Set Guests At Once.

Both start at 1 and go up to 10,000. Then set Fewest Guests and Most Guests for one booking, and Status: Bookable, or Hidden to keep it off the booking pages.

  3. After Each Booking (optional): a job to do before the next booking, for example Cleaning. Once a booking ends, your site's admin panel lists the item under Items To Prepare until someone clicks Mark ready. It's a reminder: it doesn't stop new bookings. See How to manage bookings from your site's admin panel.
  4. Price Per Booking (by time), Price Per Night or Price Per Day: type the price. "0 makes it free." Currency shows the currency your bookings are priced in, chosen when Bookings was switched on. Switch on The price is per guest to multiply the price by the guests of the booking.

Then, at the bottom of the form, click Create Item. The message "“Sea View Double Room” can be booked now." appears, and the item goes last in the list.

Under More for this item, the form also offers variants (a sea or garden view), extras (breakfast, parking), related items and calendar sync. See How to add variants, extras and related items to a bookable item and How to sync an item's calendar.

Edit, hide or delete an item

  • Edit: click the item's card in the Bookings panel. Change what you need and click Save Changes. The message "“Sea View Double Room” saved." appears. If you close the form, open another item or leave the panel with changes you haven't saved, the Unsaved Changes window asks first: Keep Editing takes you back to the form, Discard Changes drops them.
  • Find an item: above the list, click a category pill, or All. Once you have more than 5 items, a Search items... box also appears. Manage opens Manage Categories.
  • Hide: set Status to Hidden and click Save Changes. The card shows a Hidden badge, and customers can't book the item. Its bookings stay.
  • Delete: click the trash icon (tooltip Delete item) on the card. The Delete Item window says the item goes "with its own opening hours and closed days. Its bookings are kept, under its name." Click Delete Item. This can't be undone, so to only stop new bookings, hide the item instead.

Check that it worked

The new item's card in the Bookings panel shows its photo, name and price, with badges such as its category, By night and Up to 2 guests. Your booking page lists it, and it has its own item page. See Which pages does Bookings add, and what do customers do on them?.

Bookable items are kept in your project's database, so your published booking pages show new and changed items without publishing again. Allow about five minutes: the published site keeps the list it last read for that long before it reads it again.

Troubleshooting

"Give the item a name." Item Name is empty. Type a name and click Create Item again.

"Pick a length in steps of 5 minutes, up to 24 hours." For an item booked by time, type a length such as 30, 45 or 90 in Length (minutes).

"One booking cannot bring more guests than the item takes at once." When the capacity counts Guests, Most Guests can't be more than Guests At Once. Lower Most Guests or raise Guests At Once.

"At least the shortest stay, at most 365." Most nights (or Most days) must be at least Fewest nights (or Fewest days), and at most 365.

How It Is Booked and What The Capacity Counts are greyed out The item has bookings still to come. The hint says "Bookings still to come hold this item’s time the way it is counted now, so this cannot change until they are over." Wait until they're over, or add a new item booked the other way. Saving such a change shows "This item has bookings still to come, which hold its time the way it is booked now. Change how it is booked once they are over, or add a new item."

"Keep it under 100 characters." After Each Booking takes up to 100 characters. Write a shorter job, for example Cleaning.

"Could not read the items: …" TeleportHQ couldn't read your items from the database. Click Retry.
