How to run and promote your bookings with AI (AI Assistant, Tailor project, Marketing Studio)

TeleportHQ gives your bookings three AI helpers. The AI Assistant sets up and runs them when you ask in plain words: it adds and changes items, sets your rules, opening hours and closed days, and accepts, declines, cancels or refunds a booking after you confirm. Tailor project to my business… writes up to 4 bookable items that match your business. The Marketing Studio promotes your bookings with the goals Get more bookings and Promote a bookable item. Each one uses AI tokens.

Before you start#

• Bookings must be on for the bookings tools and goals to show. The AI Assistant can switch Bookings on for you when you ask. See How to add bookings to an existing project.
• Bookings need a Web App. On a project that is still a Presentation Website, the AI Assistant reports a bookings request as blocked until the project becomes a web app. See What is a web app in TeleportHQ?.
• AI tokens. Every AI task uses tokens. See What uses AI tokens, and how much?.

Run your bookings with the AI Assistant#

1. In the TeleportHQ editor, click AI Assistant above the top right of the canvas.
2. Type what you want, for example:
   • "Who is booked tomorrow?"
   • "Add a Sea view double room for up to 2 guests, with photos."
   • "We're closed from 24 to 26 December."
   • "Open Monday to Friday from 9:00 to 17:00, with a lunch break from 13:00 to 14:00."
   • "Accept the request from Jane Cooper."
3. Press Enter. For actions on a booking, the assistant first shows what it will do and asks you to confirm.

The TeleportHQ AI Assistant can:

• Switch Bookings on, with your own first items and rules when you name them, or off when you ask.
• Read your set-up, your items and your bookings, to answer questions such as "How many guests arrive this weekend?".
• Add, change, hide or delete items. It can write a whole item, with photos, from a short description.
• Change your rules: approving each booking, guest bookings, phone number, online cancellation, payment and the payment hold, alerts and who gets them, reminders, timezone, start times, notice, how far ahead, check-in and check-out times.
• Set opening hours and closed days.
• Set up the booking page: its filters, category tabs, search, sort and layout, or rebuild the booking pages when they have an older design.
• Act on a booking: accept, decline or cancel it, mark it attended or a no-show, refund a booking paid online, and keep a private note on it.

Actions on a booking (a new status, a refund), deleting an item, rebuilding the booking pages and switching Bookings off always ask you first. A booking's new status reaches its customer and a refund moves money, so they can't be undone. See How to choose what the AI Assistant may do without asking.

Write bookable items for your business with Tailor project#

Tailor project to my business… rewrites a project you started from a template so it fits your business. On a project with Bookings, it can also replace the template's sample items.

1. Open the TeleportHQ Project Menu (the logo at the top left) and click Edit → Tailor project to my business…. The Tailor this project window opens.
2. Describe your business and go through the steps.
3. On the step Content that came with the template, choose what happens to your items:
   • Delete the 3 existing bookable items (with the number you have): "Includes their photos, kinds and extras. Items customers have booked, your opening hours and your booking rules stay."
   • Create up to 4 bookable items with AI: "One for each thing your customers book — names, descriptions, prices, lengths and photos. Review them before you publish."
4. Finish the window's steps, then click Tailor my project.

When the run ends, the new items are in the Bookings panel. Open each one to check its price, length and photos. See How to add a bookable item.

Promote your bookings in the Marketing Studio#

While Bookings is on, the TeleportHQ Marketing Studio offers ready-made booking goals:

• Campaigns: click New campaign. On the Goal step, pick Get more bookings ("Send people to your booking page to pick a date and book.") or Promote a bookable item ("Feature one room, service or rental and link to its booking page in every post."), then choose the item. • Social posts: choose the goal Promote a bookable item and pick the item under Feature a bookable item. See How to create social media posts with AI.
• Graphics: pick an item under Feature one of your bookable items (optional) to put it in the picture. See How to create marketing graphics with AI.

Check that it worked#

• AI Assistant: the chat ends with a ticked line for each change it made. Open Growth → Bookings or the Bookings panel to see the result.
• Tailor project: the run's summary reads, for example, "4 bookable items created", and the new items show in the Bookings panel.
• Marketing Studio: the campaign's messages feature your booking page or the item you picked, with a link to it.

What it costs#

AI work on bookings is listed as Bookings Setup in the Project Costs window (click the project name at the top of the editor, then AI Costs & Usage, and choose All Operations). Before a task starts, TeleportHQ checks that your workspace has at least this many tokens, then charges what the AI really used:

Troubleshooting#

The AI Assistant says the bookings request is blocked Your project is still a Presentation Website. Bookings need a Web App. Make the project a web app, then ask again.

Tailor project has no bookable items choice The choices only show while Bookings is on. Delete the … existing bookable items is greyed out when there are none.

I don't see Get more bookings in New campaign The booking goals show only while Bookings is on. Promote a bookable item needs at least one item that is offered (not hidden).

Good to know#

• Refunds through the assistant move money like the Refund button. When the provider can't send refunds, the refund is only recorded and you return the money yourself.
• Filling in one item. In the item form, Autofill using AI writes one item. See How to fill in a bookable item with AI.
