How to graduate a student from an Academic workspace
In a TeleportHQ Academic workspace, graduating a student moves their project into a new, permanent workspace that the student owns. First, an Owner or Admin picks the student for that project from the project's card on the dashboard (⋯ → Set graduation project for…). Then they open Workspace Settings → Collaborators and click ⋯ → Graduate on the student. A copy of the project stays in the Academic workspace.
Before you start
- The workspace must be on the Academic plan. See What is the Academic plan?.
- You need to be the workspace Owner or an Admin.
- The student must be a member with a TeleportHQ account, with any role except Owner or Admin. An invited address that hasn't signed up yet can't be graduated.
- A student is graduated once. Each student can graduate from the same Academic workspace one time, and it can't be undone: the student is removed from the Academic workspace.
1. Pick the student for the graduation project
- Open the Academic workspace on your dashboard.
- On the project's card, click the ⋯ menu.
- Click Set graduation project for…. The Set graduation project window opens: "Pick the student whose graduation project is <project>. Only this project will move to their new workspace when you graduate them."
- Click the student in the list. A check mark appears next to their name. To find them faster, type their name in Search students…, for example
Ana Popescu. - Click Save.
TeleportHQ shows "Graduation project assigned." The card shows a ★ Graduation Project label until you point at it, and its menu item now reads Change graduation student…. To undo the choice, open that item, click Clear current assignment, then click Clear.
2. Graduate the student
- In the left sidebar, point at the Academic workspace and click the ⋯ icon at the right end of its row.
- Click Manage Collaborators. If you're an Admin, the workspace is under SHARED WITH ME and the item is See Collaborators.
- In the Members list, click the ⋯ at the end of the student's row.
- Click Graduate. The Graduate <name>? window opens and explains what happens. It also says "This cannot be undone."
- Tick I understand <name> will be removed from this workspace and gain ownership of a new workspace.
- Click Graduate.
Check that it worked
TeleportHQ shows "Graduated <name>." The student no longer appears in the Academic workspace's Members list. A copy of their project, with the same name, stays in the Academic workspace, in the same folder.
The copy left in the Academic workspace is a clone, not the original. It gets its own copy of the project's TeleportHQ database, with the tables and the content the student wrote (such as products, posts and bookable items), but without user accounts, orders or bookings. It starts without the project's Secrets, with its payment providers reading Needs configuration and its forms without reCAPTCHA keys.
The student now owns a new workspace named after them, with the GRADUATE badge, on the Graduate Plan. It holds the graduation project.
Troubleshooting
"Mark a project in this student's folder as the Graduation Project before graduating them." No project is set for this student yet. Do part 1 first.
"Something went wrong. Please try again." when you save in the Set graduation project window The student you picked already has another graduation project. Each student can have one. Open the other project's ⋯ → Change graduation student…, click Clear current assignment, then click Clear. Then try again.
"Only non-admin members can be graduated." The person is an Admin. Change their role first. See How to change a member's role.
"This student has already graduated." This student was already graduated from this workspace once.
"Collaborator not found." The person was invited but hasn't created a TeleportHQ account yet. Ask them to sign up with the invited address first.
"No eligible students in this workspace. Invite non-admin members first." The workspace has no members who can be graduated. Invite the student first.
"This action is only available on Academic-plan workspaces." The workspace isn't on the Academic plan.
There's no Graduate item in the ⋯ menu The person is the Owner or an Admin, or the workspace isn't on the Academic plan.
Good to know
- What the graduate workspace includes: 1 project, the student only (no one can be invited), no AI tokens, no custom domains, no code download and no manual backups. It never expires. The student can upgrade it from Workspace Settings → General → Upgrade workspace.
- What doesn't move with the project: the custom domain, the GitHub and Vercel connections, and the workspace's domain and language subscriptions stay behind. Languages already set up in the project keep working.
- The moved project keeps its data. The project in the student's new workspace is the original: it keeps its database, its Secrets and its payment providers. Only the copy left in the Academic workspace starts without them.
- The student isn't notified by email. Tell them yourself that their project has moved.
- An Academic workspace with graduated students can't be deleted.
- This is the only way to move a project between workspaces in TeleportHQ. For other cases, see Can I transfer a project to another account?.
